The Office Coordinator plays a vital role in ensuring the daily operations and environment of Embrace Church function smoothly and with excellence. This person will be the first point of contact for visitors and callers, assist with internal scheduling needs, and support the team by maintaining a welcoming, efficient, and organized environment.

Responsibilities

  • Operations Support

    • Manage weekly offerings, including tracking deposits in the church database and transporting offerings to the bank, ensuring accuracy and confidentiality.

    • Manage employee files, including the confidential and sensitive information for all staff.

    • Assist with new hire documentation by printing and organizing new hire checklists and preparing other necessary paperwork.

    • Assist with general employee inquiries and provide support to the needs of current staff members.

  • Front Desk & Hospitality

    • Own and manage communication (incoming phone calls, emails, mail), ensuring follow-up and accurate messages.

    • Warmly greet and professionally assist guests and visitors during all weekday office hours

    • Manage incoming and outgoing mail and packages

    • Prepare and send letters, emails, and other correspondence as needed

  • Scheduling & Communication

    • Coordinate and schedule internal and external meetings, rooms, and necessary production support

    • Arrange cleaning services and other facility-related needs.

  • Campus Support

FULL-TIME, 40 HOURS/WEEK, Sunday-Thursday - The Facilities Coordinator at Embrace Church will play a vital role in maintaining a clean, safe, excellent and welcoming environment for our staff, attendees and guests.

Responsibilities

  • General Maintenance & Repair

    • General Repairs: Perform minor repairs in plumbing, electrical, HVAC, carpentry, sheetrock/drywall, texturing and painting. 

    • Contractor Coordination: Capable of overseeing and performing full remodels of facility spaces, from planning to completion.

    • Inventory & Tools: Maintain tools, supplies and maintenance records.

    • Work Order Response: Address maintenance requests promptly, prioritizing based on urgency and operational impact.

    • Safety & Compliance: Follow all safety procedures and ensure work complies with building codes and regulations.

  • Exterior Groundskeeping:

    • Lawn Care: Regularly mow and trim the lawn, ensuring the exterior grounds are tidy and well-kept throughout the year.

    • Snow Removal: In the winter months, remove snow from walkways, parking lots, and entrances to ensure safe access to the church.

    • General Grounds Maintenance: Ensure the exterior grounds are free of debris, leaves, and litter. Maintain any flower beds, shrubbery, and other landscaping features as needed.

  • Miscellaneous Duties:

    • Special Events Support: Assist with preparing the building for special events (e.g., setting up or breaking down for events, additional cleaning before/after events).

    • Supply Management: Monitor and replenish cleaning and maintenance supplies to ensure there is always an adequate stock available.

Qualifications

  • Experience: Previous experience in facilities maintenance, building cleaning, groundskeeping, or janitorial work preferred, but not required.

  • Work with the Production teams to ensure that in room elements translate well to broadcast.

  • Participate in regularly scheduled Worship & Production meetings.

  • Report to designated Production Lead.
